Workflow for pickup orders
Perhaps you offer your customers the option to pick up their order from your store or warehouse. It is wise to set up a good workflow for this, so that it is clear to both your warehouse and your customer that the order will be picked up. This can be done in 5 steps.
The pickup workflow in short
With the steps below you set up the following:
- Picqer recognizes the shipping method of an order.
- Based on that, Picqer select a different template for that order; the customer now receives a shipping notification specifically intended for pickup.
- We mark the order with a tag for easy identification.
- We automatically select a blank address label, making it clear that it is a pickup order and which package belongs to which customer.
- The customer receives a special "your order is ready for pickup" email.
Step 1: Importing the shipping method from the store
Picqer needs to know which shipping method was chosen to trigger the correct workflow for pickup orders. For this, consult the order fields.
If the shipping method is not yet imported from your store, contact us via Help and feedback or email support@picqer.com. We will help you import the shipping method. It is helpful to have a (test) order ready in which pickup is selected. We would like to receive the order number.
Step 2: Create a template
Create a new template with which you send a different shipping notification email for these orders and optionally use a different packing slip design.
Tip: clearly indicate on the background image of the pick list and packing slip that it is a pickup order, so this stands out in your warehouse.
Edit the texts in the shipping notification so that the subject and content apply to pickup orders. For example, state that the order is ready to be picked up. Also include the address and other information that gives your customer clarity about the pickup workflow.
Set the shipping notification in your new template to "send automatically".
Tip: this works best if the shipping notification for this order is only sent from Picqer and not from the store.
Step 3: Create a shipping provider for "pickup"
Add a new shipping provider in Picqer of the type Manual via Settings > Shipping providers > Manual.
Create a shipping profile for the new shipping provider and name it, for example, "Pickup". This shipping provider profile is not linked to a real carrier, but to a function in Picqer for creating standalone labels. This prints a label with the customer’s information, helping you keep track of which package belongs to which customer. You can also disable label printing and write the name on the package manually. Creating the Manual shipping provider remains necessary.
Step 4: Create a tag
Create a new tag via Settings > Tags and name it "Pickup". This helps you quickly identify pickup orders in the overview. It also makes it easier to mark pickup orders as urgent or to run separate batches of pickup orders.
Step 5: Set up the workflow with a Rule
Create a new order rule via Settings > Rules and choose the shipping method as the condition. Make sure this condition is "true". For example: "shipping method" contains "pickup". Then add two actions to the rule:
- Select template. Here you select the "Pickup" template.
- New tag. Here you select the "Pickup" tag.
Then, based on the shipping method, create a pick list rule that performs 1 or 2 actions:
- Select shipping method. Here you select the "Pickup" shipping provider.
- Optional: mark pick list as urgent to give pickup orders priority over other orders. This is useful when you offer pickup within 1 or 2 hours.
