Purchase Orders
In Picqer, creating purchase orders is easy. You can either create an order manually or generate one automatically using the purchase advice. Either way, your purchase orders are processed directly in Picqer, keeping your inventory up to date and removing the need for separate tools or manual tracking.
In the purchasing tab, you can view all purchase orders, ordered products, and the purchase advice. Purchase orders can be filtered by status: concept, purchased, received, or cancelled.
Creating a Purchase Order
Create a new purchase order via New Purchase Order. Fill in the basic details, such as supplier, expected delivery date, and warehouse. These details can be adjusted later if needed.

Adding Products
You can add products to your purchase order in two ways:
- Manually: click ‘Add the first product’ and enter the quantity. The total order value will update automatically.
- Import via Excel: upload an Excel file with at least the columns Product Code and Quantity. Optionally, you can also include a Price column. This price will only apply to this purchase order.
Expected delivery date per product
You can set an expected delivery date for the entire purchase order and/or per product. For individual products, use ‘Specify delivery date’ next to the product name. If you only set dates per product, the earliest date will automatically appear as the next delivery date for the purchase order. This makes it easy to see at a glance whether the order will arrive on time.

Managing a Purchase Order
Once all products are added, click Save. The purchase order will be saved as a concept. When the order is finalized, you can mark it as purchased and send it directly to the supplier.
After creation, you can further manage the purchase order:
- Edit: adjust supplier, warehouse, and order settings.
- Cancel: cancel an incorrect purchase order. Note: cancellations cannot be undone.
- Export: export the purchase order to Excel or PDF, or create a put-away list for internal use.
Registering Receipt
Once you receive a purchase order, register the receipt in Picqer. Go to the relevant order and click 'Register Receipt' at the top right. Multiple receipts can be registered per order, for example, when different products are delivered at different times.
